How Koi handles inquiry and communication information.

Information you provide

When you submit the inquiry form, Koi receives your name, email address, selected contact role, selected routing label, message, and any organization, telephone number, property reference, or other information you choose to provide. Koi also receives the separate text-message and automated-call choices you make, including when you leave them unselected.

If you contact Koi by email or telephone, Koi and the service providers used to receive and manage that communication receive the information you choose to provide. Calls to Koi’s business number may be answered by an AI message-taking assistant, transcribed, and recorded for human review. You may email Nathanial instead if you prefer not to use that calling pathway.

Do not submit Social Security numbers, banking information, credentials, access codes, wire instructions, proof-of-funds documents, or similarly sensitive records through the form or ordinary email.

How Koi uses information

Koi uses inquiry information for human review; to respond when appropriate; to research or evaluate a potential real-estate opportunity; to coordinate due diligence, title, legal, or transaction-related work; to maintain business and consent records; to prevent misuse; to protect its rights; and to comply with applicable law. Koi Property Solutions LLC researches and acquires real estate as a principal.

The Cleveland Houses, Nashville Luxury / Infill, and Wilson County Land selections are inquiry-routing labels only. Selecting one does not establish public availability or a service area, and submitting the form does not create an offer, agreement, agency relationship, or transaction.

Mobile information and consent records

Koi does not treat providing a telephone number, possessing a telephone number, or receiving a number from another source as consent to text or call using automated technology. On the inquiry form, non-marketing SMS, recurring marketing SMS, and automated/prerecorded/artificial/AI-voice calls are three separate optional permissions. Koi may keep the choice made for each channel and purpose, the disclosure presented, its version, the source and time of the request, and any later withdrawal so the request can be documented and honored.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Service providers and other disclosure

Service providers may process information on Koi’s behalf to host and secure the website, receive and store inquiries, manage business communications, or provide customer support. They are permitted to use information only to support Koi’s requested services and applicable legal or security requirements—not for their own marketing.

Subject to the mobile-information limits above, relevant non-mobile information may be disclosed to professional advisers, title or transaction professionals, or government authorities when reasonably necessary for an authorized purpose, to protect legal rights, or as required by law. Koi does not sell information submitted through the inquiry form.

Technical data, cookies, and advertising

The website host and form-security systems may process limited technical information such as an IP address, request time, browser or device information, source page, and error or security events to deliver and protect the site, prevent duplicate submissions, and investigate misuse.

Koi has not intentionally added analytics, advertising pixels, marketing cookies, session replay, or behavioral profiling to this website.

Retention and security

Koi may retain inquiries, business communications, consent and withdrawal records, and limited suppression records for as long as reasonably necessary for human review, the relevant communication or transaction, legal and recordkeeping obligations, dispute resolution, security, and honoring opt-out requests.

Koi uses administrative and technical safeguards intended to protect retained information. No transmission or storage method is guaranteed to be completely secure, and this notice does not represent a fixed retention period for every category of information.

Your choices and privacy contact

For SMS help, reply HELP to a Koi text. To withdraw SMS permission, reply STOP. To revoke automated-call permission, tell Koi during a call, email nathanial@koipropertysolutions.com, or call (216) 925-4100. A withdrawal applies to the identified number and permission; Koi may keep a limited record so the request can be honored.

To stop future non-transactional outreach email from Koi, reply “Unsubscribe” to a Koi email or email nathanial@koipropertysolutions.com with the subject “Unsubscribe.” Transactional or legally required communications may still be sent when applicable.
